Overview

This position will perform advanced executive administrative duties for the Chief Medical Officer and a variety of other key administrative staff in his/her area of responsibility by facilitating the flow of information and accomplishment of the organization’s objectives. This position will also oversee AltaMed’s loan forgiveness program.

Responsibilities

  1. Plan, coordinate, and review materials related to the day-to-day administration of the CMO’s office.
  2. Serve as a liaison between the office of the CMO and members of the Board of Directors and for special projects and initiatives.
  3. Work collaboratively with Executive leadership and various departments to develop appropriate business presentations.
  4. Work with Communications team to draft speeches/talking points for the CMO for external/internal presentations.
  5. Serve as proxy for CMO at certain meetings/events in his absence.
  6. Prepare correspondence, memoranda, reports and other material of a highly confidential nature.
  7. Attend meetings to record minutes and follow-up assignments and to track projects to ensure progress to deadlines.
  8. Collaborate with CMO’s staff as needed to ensure CMO’s calendar/travel is up to date.
  9. Remain current with healthcare reform and other issues related to the business and provide CMO with timely summaries or hot topic bulletins.
  10. Provide support for executive level projects and initiatives, which includes conducting research, analysis, problem solving, and developing PowerPoint presentations.
  11. Work with CMO’s senior leadership to review budget, updated forecasts, and financial results
  12. Establish processes/procedures to achieve desired results where none existed before and develop and implement process improvements where feasible.
  13. Perform all other related duties as assigned.

 

Qualifications

  1. High School diploma plus a minimum 5 years of experience with progressive responsibility as administrative assistant including planning and organizing in an administrative role; or a minimum of 3 years of experience with a Bachelors’ degree.
