  • Overview

    Within office of the General Counsel and Compliance and Risk Management Offices, performs highly professional administrative support in a fast-paced environment at the direction of the General Counsel, Chief Compliance Officer, and/or legal department staff. Handles a wide variety of complex, time sensitive and confidential situations. Conducts legal research, review and document retrieval, as requested. Interfaces with the various departments within the organization regarding legal, compliance and governance related matters. Prepares routine and advanced correspondence including meeting minutes, letters, memoranda, and reports. Assists in preparing legal documents and agreements using templates. Responsibilities include supporting all office administrative functions and scheduling all meetings and activities, and maintaining communication between internal and external customers and managing legal records.

    Responsibilities

    1. Reviews content of various legal, compliance and governance documents. Edits and formats to final documents.
    2. Manages contract templates and coordinates with attorneys and legal staff with daily workflow of contracts. Follow up with matters that present as gap in content or require revision. Ensure final versions are in formats for execution to completion with appropriate authorization signatures.
    3. Manage the scheduling of all appointments for the General Counsel’s office and Chief Compliance Officer. Prepares all meeting material as needed and as assigned.
    4. Anticipates problems and solves them as they arise, using effective problem solving skills to provide excellent customer services at all times.
    5. Ensure work flow of documents, calendar, emails, and other key items requiring review and input from the supervisor are taken care of on a timely manner.
    6. Manage daily communications via email or memos to From the Executive Offices as assigned by the supervisor.
    7. Provides administrative support for completing daily and regular activities within the General Counsel’s Office and Compliance Office, (e.g., Mail, department bills, office supplies, etc.).
    8. Assist with contract management including implementation of system design, and program processes for internal clients.
    9. Internal audit support
    10. Coordinates and prepares for Board of Compliance Committee and Corporate Compliance meetings; this includes working up presentations and attending meetings and serving as coordination of participants.
    11. Perform other duties as assigned.

    Qualifications

    1. Associates of Arts or Bachelor Degree a plus.
    2. 10+ years of corporate in-house or large national law firm experience required.
    3. Legal secretarial/civil litigation experience required.
    4. Contract Management System experience a plus.
