  • Overview

    Responsible for answering telephones, routing calls, taking messages and providing appropriate information, in a prompt and courteous manner.  Provides excellent customer service.  Responsible for functions related to reception duties, appointments, and telephones.  Greets and welcomes Guests and visitors efficiently.

    Responsibilities


    1. Provides excellent customer service at all times, to internal and external customers.


    Reception



    1. Phone management - attending switchboard, placing, screening, re-routing, prioritizing, follow-up calls, open and close switchboard.

    2. Maintain conference room schedule book, and corporate sign-out log.

    3. Receive incoming, send outgoing faxes - log and distribute.

    4. Send and distribute faxes, maintenance requests, front office supplies.


    Mail



    1. Weigh and stamp all U.S. outgoing mail;

    2. Distribute mail to, assign mail boxes;

    3. Prepare Federal Express mailings, UPS, Registered/Certified mail, order front office supplies, etc.;

    4. Monitor and maintain postage machine, order supplies, reset postage meter, maintain postage usage log, prepare monthly postage report;

    5. Pick up and deliver U.S. mail to and from mailbox;

    6. Train administrative support staff on switchboard for receptionist relief.

    7. Prepare monthly receptionist relief schedule and distribute.

    8. Lock office front doors at 5 p.m., turn off coffee maker, program telephone answer machine for night service.


    Clerical Support



    1. Miscellaneous typing - envelopes, forms, labels, etc.

    2. Photocopying as required.

    3. Maintain copy machine - supplies, and maintenance calls.

    4. Prepare monthly maintenance for front office machines, copiers, etc.

    5. Prepare, maintain and distribute corporate telephone list and directory.

    6. Oversee the employee lunch lounge, order supplies.

    7. Maintain administrative forms, update as necessary.

    8. Provide other administrative/clerical duties as required.

    Qualifications


    1. Two years experience preferred.

    2. High School diploma or equivalent.
